The trial lesson, booked by the parent
One teacher, one free hour, a short form: the trial lesson is booked
Each teacher has a booking section named after them and their instrument: "Piano with Claire", "Guitar with Hugo". The parent picks the teacher and a free hour, then fills in the form: the child's first name and age, instrument, level, phone number. The school and the parent each get a confirmation email. If the child wakes up with a fever, the parent cancels from the app or the email link, and the hour frees up for another family.

Year-round students' hours stay closed; the rest opens up to trial and make-up lessons
Opening hours are set by day of the week, with several ranges per day. On Tuesdays, Claire's piano section opens only 4:30 to 5 pm and 6 to 8 pm: 5 to 6 pm is Lea's lesson, which the app never offers. At the start of the year, or when a student changes their time, adjust those ranges. Slot length is set per section, 30 minutes for Claire, 45 for Hugo, so a trial lasts as long as a regular lesson. Close school breaks as exceptional closures and require at least 24 hours' notice, so no make-up lands on the same morning.

Google Calendar for what changes during the year
Flu, an exam panel, a masterclass: the event in the calendar closes those slots
Each section is linked to the teacher's Google Calendar. On a flu morning, the teacher adds an absence there from their phone and nobody can book that day any more; if trial lessons were already booked, the teacher cancels them and each family gets an email. A day on an exam panel or a masterclass goes in the same way, as a one-off event, and closes the slots it covers. The other way round, every trial or make-up booked in the app is added to the teacher's calendar, with the child's first name, age and level in the description.

Questions music schools ask about their app
A student has a lesson every Tuesday at 5 pm: do they need to book each week?
No: their hour is not open for booking in the teacher's section, which only offers the teacher's free hours. The family has nothing to do, and nobody else can take Tuesday at 5 pm. Appointment booking does not create recurring bookings: it handles lessons outside the usual week, such as a trial, a make-up or a session before an exam.
Can students book a group class or a workshop in the app?
No: a slot takes one booking, which suits a one-to-one lesson but not an early-years music group or a chamber music workshop. Announce the workshop in the CMS Agenda and collect sign-ups with a Form: an email alerts you to each one, and the answers export to CSV.
Who books for a child?
The parent, from their own phone: they choose the teacher and the time, enter the child's first name and age, and receive the confirmation email, whose link lets them cancel.
Can the trial lesson be given over video call?
Yes, but the app does not create the call: the booking sets the time, and the teacher sends the meeting link with their usual tool. An "in person or online" field in the form shows which families prefer a screen.
Can we collect the registration fee or term fees in the app?
No: Appointment booking takes no payment, whether for a trial or a make-up. Registration and term fees are paid as today, at the front desk or by bank transfer; the app books free hours and keeps families informed.
How much does a music school app cost?
Publishing on the App Store and Google Play takes the Premium plan, web version included. Appointment booking is a Premium option, included in the Pro plan and missing from the Standard plan, which only produces the web version. The AI Extension Builder and the Form are free; developer accounts are settled separately, with Apple and Google.
